Position Announcement: Free Clinic Coordinator
The Ithaca Health Alliance seeks to hire a mature, responsible individual to serve as Clinic Coordinator for the Ithaca Free Clinic. The successful candidate must be able to work efficiently with a high level of self-direction and discretion. The Clinic Coordinator needs to communicate respectfully and effectively with a wide range of people, including volunteer practitioners from conventional and complementary/alternative medical fields, clients, board members, donors, partner agencies and the community at large.

Responsibilities include recruiting and scheduling health care volunteers to serve clinic patients, oversight of clinic open sessions, supervision and training of volunteers, fundraising, ongoing planning and development. Must have solid administrative experience, with knowledge of medical terminology and practice desired. Organizational skills and consistent follow-through are essential. The position is 30 hours per week.
The Ithaca Health Alliance is a certified living wage employer. All IHA staff and their families are provided with Ithaca Health Alliance memberships. Staff do not receive other benefits at this time.

Ithaca Health Alliance, Job Description for Clinic Coordinator

The Ithaca Health Alliance Clinic Coordinator works with the Office Manager and the Outreach Coordinator to achieve the goals developed by IHA members and the Board of Directors. The Clinic Coordinator reports to the IHA President and can expect the full support of all Board members to help achieve the goals of the position. The incumbent requires initiative, self-direction, and a demonstrated ability to work independently in a team environment.

The incumbent is accountable for:
Clinic Management

  • Organizes and files Free Clinic documentation and charts in a central secured place
  • Coordinates the functions of the volunteer administrative staff by ensuring that patients gain access they need and are being processed accurately
  • Counsels patients regarding eligibility in state programs and follows through with patients to obtain missing documentation to complete application
  • Orders, collects, and organizes equipment and pharmaceutical samples
  • Monitors office and miscellaneous supplies in collaboration with IHA Office Manager
  • Assures the Clinic space is cleaned weekly.

Volunteer Coordination & Outreach
  • Schedules health providers according to Clinic's hours of operation and availability
  • Recruits and trains administrative volunteers. Assigns volunteers to tasks according to skills and interests
  • Establishes and strengthens relations with community organizations, colleges, and institutions
  • Represents the Clinic at community meetings
  • Participates as a member of the Clinic Operations committee.

Data Development and Management
  • Maintains accurate data files and prepares necessary reports and the monthly Clinic statistical report
  • Participates in grant writing team with IHA Office Manager and select volunteers
  • Prepares, answers, and distributes all incoming mail and e-mails relative to the Ithaca Free Clinic.

Other duties and responsibilities may be developed, according to organizational and community requirements.

The Clinic Coordinator is employed by the Ithaca Health Alliance as an "at will" employee. Along with his or her demonstrated experience and expertise, wages and benefits are offered consistent with the organization's ability to provide them.
